What changes will I experience when using the new mailbox and mail server?
  • A web portal is now available again for using your mailbox, i.e. you can access your mailbox in any Internet browser via the web interface. An integration of your mailbox into an e-mail program is no longer necessary but still possible.
  • You have 2 GB available in your new mailbox. Attachments can be sent and received up to a max. size of 30 MB.
  • You can now also organise your calendar and contacts from your mailbox.
  • For your security, we have activated SPAM filters, set the max. number of addressees in a message to 50 addresses, and taken other steps to protect your data and mailbox. Of course, the new mail server has up-to-date security standards that allow encrypted communication between server and client.
  • POP3 is no longer available as a protocol from now on.

What information is needed for the mailbox move?

In addition to your e-mail address and your old password, we require "First name" and "Last name" in correct upper and lower case for identification. If you have a second name, you can enter it in the "First name" field.

The "Display name" which is later displayed in your e-mail address is automatically composed of "First name" and "Last name". You can adjust this individually here during the transfer process. However, a change at a later time can only be made by an administrator.


Do I have to choose a new password or can I continue to use my old one?

You can continue to use your old password if it already meets the new system's password policy. A password must be at least 8 characters long and contain three of the following criteria:

  • a lowercase letter (a-z)
  • a capital letter (A-Z)
  • a number (0-9)
  • a special character (e.g. :-_,;#+!?)

What can I do if my old mailbox exceeds 2 GB or I have saved e-mails with attachments larger than 50 MB?

The size of a mailbox can often be reduced by deleting e-mails that are no longer needed. To do this, empty the "Deleted Items" folder or archive older e-mails.

Do you have e-mails with photos, presentations or other large files in your folders? Store them locally on your device or in a cloud (e.g. Dropbox, Google Drive or similar). With such a backup to another location, you'll reduce the overall size of your mailbox and at the same time solve the problem of too large attachments for the mailbox move.


When and how can I access my new mailbox?

As soon as the transfer of your data to your new mailbox has started, you will receive an e-mail with the subject "Start of your mailbox move". From this point on, you can access your new mailbox at https://haimail.alumni.uni-heidelberg.de. However, you should not make any changes or send any e-mails at this time. Only after receiving the e-mail with the subject "Completion of your mailbox move" the process is fully completed. Now you can use your HAImail.

To log in to your new mailbox, use your full e-mail address as your username and the password you chose in the mailbox move application.

First steps to using your mailbox

Quick and easy access is available via all common Internet browsers on your respective device. After entering the address: https://haimail.alumni.uni-heidelberg.de, you will be directed to a login mask. Enter your full e-mail address as the user name and the password you selected in the mailbox move application. Now you can send and receive emails, manage your contacts and calendar, etc.

The integration of your mailbox into an e-mail program of your choice is no longer necessary but still possible. You can find more information here.
